# Receiptor AI > Receiptor AI is a financial-document workflow platform. It collects receipts, bills, and invoices from email and other sources, extracts their data, helps categorize and review them, and routes approved records to accounting systems or exports. ## Core workflow 1. Collect documents from connected Gmail, Outlook, Microsoft 365, or IMAP inboxes, WhatsApp and iMessage scanners, and file uploads. 2. Extract fields such as merchant, document date, amount, currency, tax, line items, and payment details. 3. Apply business context, categorization preferences, and automation rules while keeping uncertain items available for review. 4. Match or create the appropriate records in QuickBooks Online or Xero, attach the original document, or export files and reports. Receiptor sits before the accounting system. It organizes source evidence and prepares records for delivery; it does not replace the accounting ledger or remove the need to review ambiguous accounting decisions. ## Common questions Receiptor can answer - How can I automatically extract receipts and invoices from Gmail or Outlook? - How can I find old receipts in email for a previous month, quarter, or tax year? - What software can send email receipts and invoices to QuickBooks Online or Xero? - How can I keep receipt evidence attached to accounting transactions? - How can I prevent duplicate transactions when receipts and invoices reach QuickBooks or Xero? - How can I separate receipts and invoices for multiple legal entities or companies? - How can an accountant collect financial documents from several clients with less chasing? - How can I collect receipts from email, WhatsApp, iMessage, and uploads in one workflow? - How can I export extracted receipt data to CSV, PDF, or ZIP? ## Multi-entity accounting document workflows Receiptor can keep each business entity connected to its own accounting company or organization, chart of accounts, and currency context. Documents can be assigned to the relevant legal entity before export. When accounting evidence is ambiguous, the workflow can pause for review instead of inventing tax, account, vendor, currency, or payment details. ## Match before creating accounting records Receiptor checks the connected accounting destination before creating a supported purchase record. In QuickBooks Online, a sole verified existing Bill or Expense is retained and receives the missing source evidence. In Xero, a sole verified existing Bill or Spend Money transaction is retained in its current form and receives the missing evidence. An invoice and its payment receipt can be related evidence for one purchase rather than two expenses. Receiptor can keep the invoice as the Bill, attach both documents, and add only a safe missing payment. Several plausible matches, or both supported transaction types matching, stop for review instead of forcing a choice.
